How to organise family health records

A practical, non-clinical system for keeping each family member’s prescriptions, reports and discharge papers separate and easy to find.

Start with one profile per person

Keeping one timeline for each person reduces mix-ups and makes it easier to understand whose document you are viewing. For another adult, organise records only with their permission.

  • Full name and relationship
  • Date of birth
  • Known allergies or medicines only when the person has confirmed them
  • An emergency contact kept outside public notes

Use the document date, not the upload date

A useful health timeline follows when care happened. Record the date printed on the prescription, report or discharge summary and keep the original file unchanged.

Keep a small, consistent set of categories

Prescriptions, lab reports, imaging reports and discharge summaries cover many everyday records. Add a clear title and the treating specialty when known.

  • Avoid interpreting or rewriting clinical findings
  • Correct obvious filing mistakes without altering the original
  • Keep personal documents out of shared or public folders
